We’re currently seeking a personable, dependable, detail-oriented individual for the role of office assistant at our Whitestone, Queens office. Personal attributes:
- Minimum of 3 to 5 years of office and administration experience
- Ability to type fluently while performing data entry tasks (typing without looking at the keyboard, using all fingers)
- Computer literate, adaptable to various software systems and website applications
- Must be proficient with Microsoft Office products including Word, Excel, PowerPoint and Outlook.
- Personable and assertive with good communication skills
- Highly organized and skilled at managing all assigned tasks with little supervision
- Capable of managing multiple tasks and setting priorities
- Self-starter that is dedicated to high quality customer service
- Team player with strong problem-solving skills
Not Required but a Plus:
- Trade industry experience (plumbing, hvac, construction, electrical, etc.)
- Marketing / Social Media experience
Job responsibilities:
- Assist President and other key staff with daily administrative and operational tasks
- Answer phone calls and communicate directly with customers requesting service appointments or billing inquiries.
- Utilize company software to schedule service appointments, reference customer information, service history, billing info, etc. (we will train)
- Data entry including processing and posting work orders into company software program (we will train)
- Prepare and distribute sales proposals and service contracts for residential and commercial customers
- Maintain spreadsheets to track and solicit customer database for annual plumbing and heating inspections
- Make outbound calls to customers to schedule inspection and maintenance appointments
- Scanning documents, filing and other general administrative tasks
